Key Dates for Exhibitors

September 2026

Sponsorships valued at $4,000 or more include trade show booth space (booth fees and two exhibitor passes included).

For those who sponsored the 2026 conference, BCWWA staff will contact eligible sponsors before September 15, 2026, to confirm whether they wish to exercise their renewal option.

Following the renewal period, any remaining sponsorship opportunities will be made available on the BCWWA Conference website beginning September 15, 2026.

September 2026 – October 2026

Organizations that have exhibited at the BCWWA Annual Conference and Trade Show nine or more times between 2015 and 2026 (excluding 2020 and 2021 due to the COVID-19 pandemic) are recognized as Founding Exhibitors.

From September 15 to October 13, 2026, Founding Exhibitors may submit their booth requests through the online application system. BCWWA will review all requests and contact exhibitors directly regarding booth assignments.

October 2026 – November 2026

The online trade show application system opens to all new and returning exhibitors on October 13, 2026.

Organizations interested in securing booth space must submit an application by November 20, 2026. Submission of a completed application constitutes a firm commitment to purchase booth space should space become available through the lottery process.

While BCWWA strives to accommodate as many exhibitors as possible, demand may exceed available space. Applications received both before and after the deadline may be placed on a waitlist if booth space is unavailable.

December 2026 – January 2027

Organizations will be notified in December 2026 or January 2027 whether they have been assigned booth space or placed on the waitlist.

Confirmed exhibitors will be assigned a lottery ranking and contacted in that order to select their booth location from the available floor plan.

Payment and Cancellation Terms

Only one booth per organization is available. Should multiple booth spaces be of interest, please contact Katie Patrao at kpatrao@bcwwa.org to discuss sponsorship opportunities that qualify for multiple booth space allotments.
