CUSTOMER POLICY

The purpose of the BC Water & Waste Association (BCWWA) Customer Policy is to outline the policies and guidelines relating to transactions with the BCWWA, and what customers can expect while attending a BCWWA course or event. By completing a transaction with the BCWWA, the customer is agreeing to the following policy.

1. PAYMENTS

Once a registration or purchase form has been received by the BCWWA, the registration or purchase is considered firm. Payment is due before the course, exam or event start date, or before the product or service is delivered. If a customer registers without paying and does not attend the course, exam or event, the registration will be considered firm and the customer will be invoiced for the full cost.

Courses, exams and events are subject to minimum registration levels. The BCWWA reserves the right to cancel and/or reschedule any courses, exams or events.

2. REGISTRATION REFUNDS AND TRANSFERS

Refunds will be processed for cancellations received by the BCWWA seven (7) working days before the event course, exam or event start date, subject to a cancellation fee of $50 + tax. The minimum cheque refund amount is $10. No refunds will be provided for cancellations received within seven (7) working days of the course, exam or event start date.

Registration transfers are permitted at no charge, but must be submitted in writing to the BCWWA at least two (2) business days before the course, exam or event start date.

3. MEMBERSHIPS

BCWWA memberships are issued on an individual basis. Membership fees are non-refundable and non-transferable.

4. CERTIFICATIONS

Cross connection control (CCC) certifications are issued on an individual basis. Certifications are non-refundable and non-transferable.

5. SPONSORSHIPS

Payment for a sponsorship is due thirty (30) days from the invoice date. If for any reason the sponsorship opportunity is no longer available or should other contingencies prevail, which, in the opinion of BCWWA, would prohibit or greatly limit attendance at the event, the BCWWA has the right to cancel the event and/or sponsorship and shall not be liable for any expenses incurred. In the event that the BCWWA cancels an event and/or sponsorship, sponsorship payment(s) made to the BCWWA will be refunded or held as a credit on file at the customer's request. The BCWWA will not reimburse other costs incurred by the sponsor (e.g. promotional merchandise orders).

The BCWWA reserves the right to terminate the sponsorship for failure to meet the terms of this policy or for any other reasonable cause. Benefits are not redeemable for cash or other benefits.

In accordance with Canada Revenue Agency guidelines, GST is not charged on sponsorships but is charged on the booth and/or delegate registration pass components that may be included in a sponsorship purchase.

Sponsorships are non-refundable and non-transferable.

6. EXHIBITS/BOOTHS

Payment for an exhibit or booth is due thirty (30) days from the invoice date. Refunds will be processed for cancellations received by the BCWWA sixty (60) days before the event start date. Booth cancellations received within sixty (60) days of the event start will not be eligible for refund. See Section 2 of this policy for details about cancelling registrations.

Companies that have a confirmed booth, but are not satisfied with their location on the trade show floor, will be permitted to trade locations with another company. The BCWWA will be flexible in accommodating and facilitating such changes when mutually agreed upon by both parties involved in the exchange. Any trades must go through and be approved by the BCWWA. A booth cannot be sold or transferred by one company to another.

The BCWWA reserves the right to make adjustments to the floor plan and move booth assignments if necessary, as well as limit the total number of exhibitors allowed in a single exhibit/booth.

7. DIETARY RESTRICTIONS

The BCWWA will try to accommodate requests for special meals received at least two (2) weeks prior to the course or event start date. Unfortunately we may not be able to accommodate all dietary restrictions. It is the responsibility of each delegate to accommodate his or her own allergies and dietary restrictions.

8. DISTRIBUTION OF CONTACT INFORMATION

By registering for a BCWWA course or event, registrants agree to provide their contact information (full name, company and email address) to select sponsors, exhibitors and/or attendees. The BCWWA must be notified in writing if a registrant does not want their contact information distributed.

9. PHOTOGRAPHY, VIDEO AND DIGITAL MEDIA PERMISSION AND RELEASE

By registering for a BCWWA course, activity or event, the individuals ("Attendees") grant the BCWWA permission to photograph, videotape or record them. The attendees also grant BCWWA the universal and perpetual right to use, and to grant others the right to use, the actual or simulated likeness, photograph, personal characteristics and other personal identification in all manner and media.
 
Attendees release the BCWWA from all liability and obligation arising out of or in connection with the exercise of the rights granted above, including, without limitation, from any liability for violation of rights of privacy, publicity, defamation or any similar right. Attendees indemnify BCWWA against all claims, liability and expense respecting this release, and agree that they shall be entitled to no additional consideration as a result of the exercise of the rights granted herein.
