BCWWA Detailed Personal Information Protection Policy
BCWWA is committed to respecting the privacy of our members and our employees by adhering to the principles set forth in Schedule #1 of the Personal Information Protection & Electronic Documents Act of British Columbia. Those principles are:
1. Accountability
The
Chief Executive Officer is responsible for the day to
day execution and administration of the policy and reports to the
privacy information officer on these matters.
2. Identify Purposes
The main purpose for collecting the information is for BCWWA to share
knowledge and provide education to the water and wastewater professionals
as part of its mandate to safeguard public health and the environment.
3. Consent
BCWWA will provide a statement explaining the purpose for collection
of personal information. This statement will be contained on all
membership application forms. This statement will read:
"In accordance with the Personal Information Protection Act of British Columbia, BCWWA is committed to respecting the privacy of our members and will not provide any membership lists or information on our members without the written consent of said member. BCWWA’s objective is to share knowledge and provide education to the water and wastewater professionals as part of its mandate to safeguard public health and the environment. Once each year, as is traditionally the case, BCWWA will prepare a Membership Directory that will include names, addresses and telephone numbers of the members in a bound hard copy. No email addresses other than those of Board members and the Leadership Council members will be provided”.
4. Limiting Collection
The information to be collected for BCWWA membership purposes includes:
Name, address, telephone/fax numbers, job title, email address,
field of service, area of interest and industry information.
5. Limiting Use, Disclosure & Retention
Other than as indicated in 2 above, BCWWA will not provide any membership
data to third parties other than to produce a directory of BCWWA
members providing their name, address, telephone number and organization.
This directory will be provided to all members of BCWWA in hard
copy format.
6. Accuracy
Members will have the ability to request and review data provided
on their application for membership. Individuals may, on presentation
of proof of identity to BCWWA, be able to find out whether personal
information is on file with BCWWA, and if so obtain such details
at no charge. A request may also be made in writing or by telephone
to access the information maintained on the BCWWA member.
7. Safeguards
BCWWA will ensure proper safeguards through software programs designed
specifically to protect data. Also, no printed hard copies of member
data will be left in an unsecured location at any time when not
being referred to by BCWWA staff.
8. Openness
The BCWWA Privacy Policy will be published on the organization’s
website, initially in an article in its Watermark newsletter and
in its policy & procedures manual for Board & TPC Chair reference
purposes.
9. Individual Access
Members will have access to their membership information during BCWWA’s
business hours (8:00am – 4:00pm) Monday through Friday. On
request to the BCWWA Chief Executive Officer, an individual will be informed
of the existence, use and disclosure of his (her) personal information
as per BCWWA’s stated policy, and will be given an opportunity
to verify and validate that information. An individual may challenge
the accuracy and completeness of the information, and have it corrected
or amended as appropriate.
10. Challenging Compliance
Any BCWWA member who wishes to challenge the accuracy or completeness
of the information may file a complaint verbally or in writing
through the Chief Executive Officer. All complaints will be examined
thoroughly to determine whether further investigation is warranted
and what corrective action is necessary.
11. Personnel
No information on past or present BCWWA employees will be provided
to 3rd parties without the prior written consent of that individual.
All personnel records will be reviewed by the Chief Executive Officer
to ensure the accuracy of all data. On request to the Executive
Director, all staff, past or present, will have access to their
personnel file
to ensure that the personal information contained therein is accurate.
12. Water for People (WFP)
All donations from members will be maintained strictly by the WFP
committee and only aggregated data on the amounts donated will
be provided to BCWWA.

Privacy Policy
In accordance with the Privacy Protection Act of British Columbia,
the BCWWA will use your personal information only for direct communication
by the BCWWA & in the Membership Directory. BCWWA does not sell
or provide mailing lists to third parties or share information without
prior consent of our members. A detailed privacy statement can be
